      Candidate Privacy Policy

      We collect personal information from candidates during the recruitment process. This information may include, but is not limited to:

      • Contact information (phone number, email address, postal address)
      • Work Experience
      • Education and Qualifications
      • Skills and competencies
      • Referee details
      • Information provided in a resume or cover letter

       

      How do we use this information?

      We use this information for the purpose of assessing a candidate's suitability for employment with our company. This includes evaluating a candidate's skills, experience, and qualifications, as well as communicating with them throughout the recruitment process.

      This can include the transfer of such information to the Company's business contacts outside the European Economic Area in order to further its business interests even where the country or territory in question does not maintain adequate data protection standards.

      We may also use this information for internal record-keeping and reporting purposes, as well as to comply with legal obligations.

       

      Where do we store personal information?

      During the recruitment process, data may be processed by platforms operating outside of the EEA. Countries outside the EEA may not provide the same level of adequate protection for the rights and freedoms of data subjects in relation to the processing of personal data.

      Unfortunately, the transmission of information via email is not completely secure. Although Avantra will do its best to protect candidate data, we cannot guarantee the security of data transmitted via email, any transmission is at the candidate's own risk. Once we have received the data, we will use strict procedures and security features to try to prevent any unauthorized access.

       

      How do we protect this information?

      We take appropriate measures to protect the personal information provided to us by candidates. This includes storing it securely, limiting access to it, and destroying it securely when it is no longer required.

       

      Do we share this information?

      We do not share personal information provided by candidates with third parties, except in the following circumstances:

      • To conduct background checks, reference checks, or other pre-employment checks as part of our recruitment process. This may include, but is not limited to:
        • Criminal background check over the last five year period
        • Verification of employment history over the last five year period
        • Confirmation of claimed academic and professional qualifications
        • Right to work check
        • Identification confirmation check
        • Character reference check
      • To comply with legal requirements, such as providing information to government agencies or regulators.

      We may also share personal information with our affiliated companies or subsidiaries, but only to the extent necessary to assess a candidate's suitability for employment with those companies. Personal information (First name and last name) may be shared with recruiters working collaboratively on a role search, to ensure that we work efficiently together.

       

      How long do we keep this information?

      We retain personal information provided by candidates for as long as necessary to fulfill the purposes for which it was collected, as well as to comply with legal requirements. This may include retaining information for a period of time after the recruitment process has ended.

      If you are hired for a position at Avantra, we will retain the information you provided during the recruitment process and will keep and store it as part of your confidential employee record.

       

      How can you access or correct your personal information?

      Candidates have the right to request access to the personal information we hold about them, as well as to request that any inaccurate information be corrected. To make such a request, please contact legal@avantra.com 

       

      Changes to this privacy policy

      We may update this privacy policy from time to time to reflect changes in our practices or legal obligations. The most current version of this policy will be available on our website.
